-A good governance plan helps define the priorities for the intranet and helps to prevent content sprawl. It also ensures that roles and responsibilities are clearly defined and communicated ΓÇô and ideally, incorporated into job descriptions or performance goals. One aspect that often separates your intranet from other solutions is the number of people who are involved in creating and maintaining content. To ensure ongoing success, it is important to make sure that each of your intranet stakeholders and users understand their roles and responsibilities.

-Intranet governance also includes policies and procedures but it is so much more than that. Intranet governances should include a plan for user training, monitoring usage, user behavior, and communicating expectations to all of the diverse stakeholders involved. This is what makes creating a governance plan document is challenging. It is difficult to create a single document that addresses these multiple audiences and can be communicated in a way that encourages adherence and adoption.

-There is no magic size for the governance team, but it should be small enough to make it easy to make decisions and representative enough to incorporate the ΓÇ£voice of the businessΓÇ¥ and IT. When you have specific topics to review that extend beyond the expertise of the team, you can bring in outside members (such as legal or records management) to ensure that your decisions are aligned with organizational constraints.

-Your governance team may meet on a frequent basis during intranet planning and then less frequently over time. The goal is to establish a rhythm that works for your intranet and team members. Since governance has an ongoing role for your intranet success, the governance team should not be disbanded when you launch.

-There is no ΓÇ£one size fits allΓÇ¥ model when it comes to intranet governance. In fact, your intranet governance plan may be different for different types of content. For example, you may want to have more formal policies and stricter governance guidelines for sites that face the entire organization and less strict policies for content that is more targeted, such as content for an individual department or a one-time event (see Figure 1). The best approach is to look at the different elements and think about what is critical or necessary for your organization. Consider your audience and the culture of your organization to guide your decisions and approach, as well as your overall Microsoft 365 governance expectations.

-A clear vision statement provides critical guidance to the inevitable decision tradeoffs you will need to make for your governance plan. For example, you probably do not want a completely uncontrolled environment with unstructured and ΓÇ£unfindableΓÇ¥ content if your intranet vision is to provide a key source of organizational knowledge and information. In this case, the unstructured environment with no controls is unpredictable and will likely misalign with desired business outcomes. In a different scenario, some users may have a goal to create an experimental place where new site owners can create ΓÇ£practiceΓÇ¥ sites to try out new skills or test alternative approaches to solve specific business problems. For this use case, an overly restrictive governance plan may not make a lot of sense. You may determine that you donΓÇÖt want to support an unlimited number of ΓÇ£practiceΓÇ¥ sites, so you may want a governance policy that says that all ΓÇ£testΓÇ¥ sites are deleted after a specific period of time. But, for these practice or test sites, the unstructured environment is fine. You can only know what is level of governance is ideal because you have a clear vision. The vision provides a framework for both the context and your investment in governance. Once you are clear about your intranet vision, your governance team can use that vision to guide the governance decisions.

-Your intranet vision includes defining ownership. There is no right answer about which organizational entity should ΓÇ£ownΓÇ¥ the intranet ΓÇô and often, intranet ownership is shared by more than one organizational unit. However, most intranet professionals agree that there is one organization that should not be the exclusive intranet owner ΓÇô IT. IT cannot build an intranet for the business. IT can only build an intranet with the business and with a commitment from the business. Successful intranets have a champion and owner from the business, ideally at an executive level.

-A key intranet governance decision involves determining who can create a new intranet site. Your modern [intranet architecture will be ΓÇ£flatΓÇ¥](./information-architecture-modern-experience.md#guiding-principle-the-world-is-flat) which means that your intranet will contain many sites. Do you want to provide a self-service model for new intranet sites or do you want to manage site creation through a form submission and workflow? There is no right answer to this question ΓÇô but no matter which approach you choose, you need to think about governance. There are two popular solutions to governing new site creation:

-You can easily [hide the option to create a new site](./manage-site-creation.md) in the <a href="https://go.microsoft.com/fwlink/?linkid=2185219" target="_blank">SharePoint admin center</a>. If you do so, you will want to create a process for users to request a new intranet site. Having a request process makes it easy to review and track site requests and ensures that your environment remains ΓÇ£tidy,ΓÇ¥ but if your review and approval process takes too long, it could be frustrating for your users. Your provisioning process can leverage a site design to ensure consistency or you can manually create sites to follow your design patterns. A key part of your provisioning process will be to ensure that new site owners have the appropriate guidance and training that they need to be successful when you fulfill their site requests.

-If you enable self-service site provisioning, you will want to consider providing site designs that embed your best practices so that new site owners start with a ΓÇ£templateΓÇ¥ that aligns to your governance guidelines. You will also want to track new sites in the Admin Center so that you can follow up with new site owners to provide the information that they need to be successful after the site has been created.

-When planning to create, or update, your organization's intranet, there will be several people involved. The best intranet teams are not very large but contain the right partners and stakeholder who can make decisions that serve the entire organization.

-Look for opportunities to eliminate prior versions of documents that you no longer need. If you migrate files ending .v1, .v2, and so on, you will create confusion for your users who won't be able to rely on search to consistently find the latest version of documents.

-Train your users to take advantage of SharePoint's automated versioning ΓÇö and remove version IDs and dates from file names wherever possible, migrating only the latest and most accurate version. Better still, see if you can convert legacy documents to modern pages to create more engaging and easier to consume content. You will get better search experiences and achieve higher user satisfaction and easier maintenance by removing content that's no longer needed prior to migration.

-When you integrate an email domain that has an existing Yammer network into a larger parent network, it's called a network merge. A network merge is a valid option when an organization has multiple business units or subsidiaries that want to take advantage of the collaboration and administrative features of Yammer Enterprise but that don't share a common email domain.

-For example, say Contoso.com is an international company with subsidiaries in locations around the world. Each subsidiary has different product lines to serve the unique needs of customers in the area. Employee email addresses reflect the name of their subsidiary, like @contoso-europe.com and @contoso-asia.com. In a network merge, all subsidiary domains merge into the parent Yammer network, @contoso.com, and users who have subsidiary email addresses would be routed to the parent Yammer network when they sign in.

-This article describes Yammer networks, groups, and users, which together serve as a foundation for providing you with a rich Yammer experience within SharePoint.

-Yammer supports both internal and external networks. An internal network is restricted to users inside the organization, while an external network is open to users outside the organization's domain. Users in external networks must be invited. External networks are considered extensions of, and are always associated with, a single internal network.

-An internal network is associated with one primary domain. Yammer creates a network for the primary email domain in your organization so that when users log on, they're routed to the same Yammer network as their email domain. Only people with a valid organization email address can join the organization's network. For example, in the following diagram, Jane is in the contoso.com network, and John is in the northwindtraders.com network. They can both log on as guests to sites in the external networks for both organizations. But they can only log on as users in their internal networks.

-For organizations with multiple email domains, the Yammer network is associated with only one domain. Users with email addresses from valid alternate domains within that organization can still log on by using their alternate domain email address. For example, Coho Vineyard and Winery might have one domain for the parent organization, cohovineyardandwinery.com, and separate domains for each division, cohovineyard.com and cohowinery.com. The Yammer network is associated with the domain cohovineyardandwinery.com, but users can log on with their separate cohovineyard.com or cohowinery.com email address.

-By using Yammer groups, you can create a workspace dedicated to a certain topic, like a functional team within your organization, a project taskforce, or a group of people with a shared interest. By using Yammer groups, a team can collaborate and seamlessly share information, such as documents, notes, and links. Yammer has two types of groups:

-Now that your users are set up to be redirected to Office 365, you can customize what they see on the navigation bar there. By default, the navigation bar contains the following links: SkyDrive, Yammer or Newsfeed, and Sites. If you intend for your users to use only OneDrive, you can remove the other links. If you want to allow your users to interact with Yammer or the SharePoint Newsfeed features or to create team sites in Office 365, you can leave those links on the nav bar.

-> Turn on the appropriate navigation bar links for the set of SharePoint in Microsoft 365 service features that you have purchased. For example, if you have OneDrive with Office on the web, then you would turn on only the OneDrive link, and not the Sites or Newsfeed links. OneDrive with Office on the web does not include the Sites and Newsfeed features and users would see Access Denied messages if they selected the links. You can, however, still choose to turn on Yammer as your social network and then turn on the Yammer/Newsfeed navigation link.

-18. In the **Yammer Integration** section, select whether you want to use Yammer for social collaboration.

-The aggregated newsfeed feature (available at newsfeed.aspx and typically accessed via the Newsfeed tile on the app launcher), will be set to read-only in SharePoint Server 2019. Both the tile in the app launcher and the option to implement the newsfeed capability will also be removed from this version forward. For customers who are currently using the aggregated newsfeed, we recommend considering options such as Team News, Communication Sites, Yammer and/or Teams. The Site Feed feature on an individual site is not impacted and will continue to be supported across all versions of the product.
