### IT administrator control for both Microsoft 365 Copilot and Microsoft Copilot
> [!NOTE]
> In the second half of November 2024, we'll be adding a new policy to provide you with more control for making web search available to your users. The policy will be called "Allow web search in Copilot" and will be available only in [Cloud Policy service for Microsoft 365](/microsoft-365-apps/admin-center/overview-cloud-policy). WeΓÇÖll update this section with more details once the new policy is available.
Web search in both Microsoft 365 Copilot and Microsoft Copilot is part of optional connected experiences for Microsoft 365. The [privacy setting for optional connected experiences](/microsoft-365-apps/privacy/manage-privacy-controls#policy-setting-for-optional-connected-experiences) allows IT admins to either enable or disable web search for users or user groups across the tenant they manage in accordance with their organizationΓÇÖs policies, data privacy laws, or other regulatory requirements. This applies to both Microsoft 365 Copilot and Microsoft Copilot. If optional connected experiences, and thereby web search, are enabled, Microsoft 365 Copilot users within the tenant can choose for themselves whether to enable or disable web search using the web content plugin toggle. The web content plugin toggle isn't available as part of the Microsoft Copilot user experience.

# Frequently asked questions about Microsoft 365 Backup - #### Has Microsoft's stance on shared responsibility of data protection changed? No, we still have the same point of view, but are now offering more tools to help organizations achieve those goals and responsibilities.

- Set a received message to highly important #### What is the service recovery point objective? The recovery point objective (RPO) is the maximum amount of time between the most recent backup and a data destruction event. Stated another way, itΓÇÖs the amount data lost due to a data destruction event not recoverable via the backups. For Microsoft 365 Backup, the RPOs are: -- For OneDrive and SharePoint, the RPO for the first two weeks is 10 minutes, then one week beyond that. This means for the first two weeks, the most amount of data that can be lost due to a data destruction event is roughly 10 minuteΓÇÖs worth of the most recent data. Likewise, after two weeks, the most amount of data that can be lost is a weekΓÇÖs worth of data.
- For OneDrive and SharePoint, the RPO for the trailing two weeks is 10 minutes. This means if it's Monday at 8:00 AM, you can go back in time to any 10-minute period up to two weeks in the past. Beyond that, you can go to any one week period of time in past from 2 to 52 weeks in the past.
- For Exchange Online, the RPO is 10 minutes, meaning the most amount of data that can be lost due to a data destruction event is roughly 10 minutesΓÇÖs worth of data.

# Analyze section revisions in SharePoint Agreements AI

Section revision analysis is an AI-powered feature that helps maintain consistency with company-approved language. It detects changes in embedded sections, summarizes these changes, and offers suggestions.

This feature helps agreement creators and reviewers take the best next steps based on the analysis. Approvers can also benefit from using this feature to get a comprehensive view of the section modifications before approving the document and proceeding to the next step.

Once you [create a document using a template](agreements-create-template.md), and make changes to any sections based on business requirements from internal and external stakeholders, you can run the **Analyze section revisions** feature.

To analyze the section revisions, follow these steps:

1. Open the agreement you want to analyze.

2. Select **Agreements** > **Generate Documents**, and then select **Analyze section revisions** to start the analysis.

3. Once the analysis is complete, you can see a summary of changes.

4. Select **View details** to review changes of any section that interests you.

Selecting **View details** provides further information on the revised section. It contains three parts:

 - **Text difference** ΓÇô Shows the changes made to the modified section.
 - **Summary** ΓÇô Provides an AI-generated summary of the changes made to the section.
 - **Suggestions** ΓÇô Provides suggestions to align the revised section with the source template.

6. After you make changes in the relevant sectionΓÇÖs details pane, select **Refresh results** to see the latest analysis.

> [!NOTE]
>The suggestions and summary provided are not legal advice from Microsoft. The section information defined by your organization is used to perform the revision analysis.

description: Learn how to create a template with the SharePoint Agreements AI solution.
+
# Create a template in SharePoint Agreements AI

Templates serve as a predefined structure that standardizes the creation of documents and agreements. They ensure consistency and uniformity across various documents within the workspace, streamlining the creation process and reducing the likelihood of errors. Templates can include specific sections, formatting, and content guidelines that align with the organization's requirements and branding.

Once you create and publish a template, users with access to the template can start [generating agreements](agreements-create-agreement.md) from it. Users will be asked to [input values for fields](#add-fields-to-a-template), and send it for approval or eSignature based on the [workflow configured](#configure-a-workflow) with the template.

> [!NOTE]
> You can always edit a published template. However, you need to republish the template for the changes to take effect. Documents will be created based of the last published version of the template.

## Create a new template from the Agreements app

1. Go to the Agreements app in Microsoft Teams, and then select **Create a template**.

2. Optionally, you can select **Pick a file** to create a template from an existing document.

 - If you pick a file, the content of the file will be copied over to the template.

 - If not, a blank template will be created for you.

3. On the **Create a template** page, provide a name for the template, select the workspace where the template will be stored, and the category that the template belongs to. Set values for the country or region and the language for the template.

![A screenshot of the Create a template page.](../../media/content-understanding/agreements-create-template.png)

4. You can also provide a description and tags for the template.

5. Select **Open in Word** to set up fields, insert sections, configure workflows, request approvals, and publish it once it's ready.

> [!NOTE]
> You can't change the name of the template or the workspace where the template is stored after a draft template is created.

### Create a template in Microsoft Word

You can also create a template in Microsoft Word.

1. Go to the **Agreements** tab in Word, and then select **Manage templates**.

2. To create a new blank template, select **Create new template**. If you want to convert an existing document into a template, select **Convert this document to template**.

3. You can provide a user-friendly name and a description for the template.

4. Select the workspace where the template will be stored and the category that the template belongs to.

5. Set values for the country or region and the language for the template.

6. Select **Save** to create the draft template.

7. You can now add content to the template and set up fields, sections, and workflows for this template.

## Add fields to a template

Fields are areas of the template that should be filled in when generating agreements from the template. When configuring the template, you can define as many fields as you like. For example, the name of a contractor can occur multiple times in a consulting agreement document. You can create a field named "Contractor Name" and associate it with all occurrences of the name throughout the document when you generate a template.

Fields can either be added to the content of the document, or kept as other properties for the template. You can also define if a field needs to be provided when agreements are created from the template, or if the field is optional.

### Standard fields

There are a few standard fields that come with SharePoint Agreements AI. These fields include:

- **First party** ΓÇô The first party on the agreement.
- **Second party** ΓÇô The second party on the agreement.
- **Effective date** ΓÇôThe date on which the agreement comes into effect.
- **Expiration date** ΓÇô The date on which the agreement expires.
- **Expiration type** ΓÇô This type can either be single date, where the agreement expires on a specific date, or evergreen, where the agreement never expires.

To add fields to a template, follow these steps:

1. On the **Manage templates** panel, select **Set up fields**.

![A screenshot of the Manage templates panel.](../../media/content-understanding/agreements-template-fields.png)

2. Here, you can search for and reuse an existing field or create a new one.

3. To insert the field into the content of the document, select the text from the main content area or place the cursor where you'd like to replace with the field, and select **Insert** from the field card on the **Manage templates** panel. You can also choose to insert this field at all similar instances throughout the document. You can review all field insertions in the template with the left and right arrow keys within the field card.

![A screenshot showing an opened document and the Manage templates panel.](../../media/content-understanding/agreements-insert-field-selection.png)

4. To delete the field or view more details and perform other actions, select **More options** (**...**) on the field card.

### Create a new field

To create a new field, select **Create a new field**. When creating the field, you can provide a name for the field, mark the field as a required field, add a description, and select the type of field. Fields include the following types:

- Single line of text
- Multiple lines of text
- Number
- Date and time
- Hyperlink
- Email
- Table
- SharePoint List

### Associate a field to a list or library

You can associate fields to a SharePoint list or library. If you do so, users will be provided the list of values in the list to pick from, rather than being asked to type in the value for the fields manually.

> [!NOTE]
> If you associate fields with multiple columns of the same list or library, users can pick values for the fields that correspond to a single row in the list or library. For example, if you have a list that has the list of states and countries or regions, and you associate two fields, state and country to these columns, the value for country will be automatically picked up once the user selects the state.

To associate a field to a SharePoint list or library, follow these steps when creating a new field:

1. In the **Type** section, choose **SharePoint List**, and then choose **Select**.

2. On the **Select a list** page, select the SharePoint site and the list you want to use.

 ![A screenshot of Select a list page.](../../media/content-understanding/agreements-list-selection-dialog.png)

3. On the **Select a column from the list** page, select the column name you want to associate with the field, and then select **Save**.

![A screenshot showing the field associated with a SharePoint list.](../../media/content-understanding/agreements-list-panel.png)

You can also allow users to manually input values with the **Document authors can type in values manually for this field** option. The values input by the authors are only used to generate the document. They won't be added to the SharePoint list.

## Add sections to a template

Sections are reusable blocks of content that can be used across templates. For more information, see [Manage sections](agreements-manage-sections.md).

To insert published sections into your template, follow these steps:

1. From the **Manage templates** panel, select **Insert sections**.

2. Pick the relevant section for your template from the list.

3. You can insert as many sections as you'd like. The list of sections inserted will be displayed under the **Insert sections** part.

4. You can also remove the section from the template by selecting the **Delete** option.

## Configure a workflow

Create customizable workflows that apply to all documents when created with the template.

### Configure an approval workflow for documents generated from the template

To set up a mandatory approval workflow on a template, follow these steps:

1. On the **Manage templates** panel, in the **Configure workflows** section, select **Configure required approvals**.

![A screenshot of the Configure workflows section on the Manage templates panel.](../../media/content-understanding/agreements-setup-approvals.png)

2. Set the name of the approval request. The name can be modified by document authors when they'll be prompted to send the approval request after document authoring is completed.

3. Select **Approvers** (who needs to approve it) and decide the approval order. Once the changes are done, select **Setup document approval flow**. Multiple approvers can be added to a level, and only one of them needs to approve for the request to move to next level.

![A screenshot of the Approvers section on the Manage templates panel.](../../media/content-understanding/agreements-approval-setup.png)

4. Once your modifications are complete, select **Save changes**. You can delete the already saved approval flow by selecting **Delete approval flow**.

5. Finally, publish the template for the changes to take effect.

### Configure a SharePoint eSignature workflow

After creating or editing a template, you can set up a SharePoint eSignature flow. This ensures that every document generated from the template is automatically sent for signatures according to the specified flow. SharePoint Agreements AI uses SharePoint eSignature to set up and send signature requests to recipients. For more information, see [Overview of SharePoint eSignature](/microsoft-365/syntex/esignature-overview).

To set up a mandatory signature workflow, follow these steps:

1. In the **Configure workflow** section, select **Configure required signatures**.

2. Set up signature fields in the template by first adding a signer label, such as first party or vendor.

3. Place your cursor where you want the signature to appear in the document, then insert the fields for signature, initials, and date.

 > [!NOTE]
 > You only need to insert the signature field locations in the template. During document generation, authors will have to assign signatory email addresses to the fields and send the PDF version of this document for signing.

4. You can add multiple instances of the same signature field across the template and then navigate through its occurrences.

5. You can create multiple signature fields for your template and add its instances in the Word document.

6. Once set up, you can also choose to later modify the signature request. Once your modifications are complete, select **Save changes** to save the updated flow. You can delete the already saved signature flow by selecting **Delete signature flow**.

## Publish the template

When you're done configuring your template, you can publish the template. Once the template state is **Published**, it becomes available for document authors to use it for document generation.

### Request approval before publishing a template

You can also request an approval on a template before publishing the template. The SharePoint Agreements AI solution uses the Approvals app in Teams to send approval requests. For more information, see [Approvals in Microsoft Teams](/power-automate/teams/native-approvals-in-teams).

To request approval before publishing the section, follow these steps:

1. From the **Agreements** tab in Word, select **Manage template**.

2. Select the template to send for approval or [create a new template](#create-a-template-in-microsoft-word).

3. Select the **Request approval before publishing** option to set up an approval flow before publishing the template.

4. Create the approval request.

5. Fill in the name of the request and the approvers (who needs to approve it). Decide approval order, add any additional information, and then select **Notify via email** if you want to send email notifications along with Teams notification.

6. After configuring the approval request, select **Send**. The template document is marked as read-only once the approval request starts, and those approvers who don't have access to the template will be granted view permissions.

7. Once the approval request is sent, you can track the request status (**Approval in progress** or **Approval completed**) through the Word pane by reloading the template management pane or selecting **Refresh**. You can also view the request later by selecting the **Sent** tab in the Approvals app in Teams.

8. You can cancel the sent approval request by selecting **Cancel request** or select **Edit section**, which will cancel all running flows and unlock the template for further edits, and the document will return to **Draft** state.

### Share published templates

Once a template is published, workspace owners, workspace members, and template managers can create agreements from it. You can also share the template with read-only permission to users not in the workspace. This gives those users the ability to create agreements from the template.

+
# Frequently asked questions about SharePoint Agreements AI

#### What is SharePoint Agreements AI?

SharePoint Agreements AI is an end-to-end solution, powered by AI, to help streamline and simplify your agreements, such as nondisclosure agreements (NDAs) and statements of work (SOWs). From drafting to execution, the solution is ready to integrate seamlessly into your flow of work.

#### What are the use cases for SharePoint Agreements AI?

SharePoint Agreements AI can be used across your organization. For example, the procurement department can generate purchase agreements with suppliers, the sales department can handle NDAs with clients, and the human resources department can create offer letters for new employees. Use Agreements AI wherever you need templates to create agreements in your organization.

#### What is the licensing model for SharePoint Agreements AI?

The licensing model for SharePoint Agreements AI is still being finalized, but early access customers can get trial licenses for **SharePoint Content Solution - Agreements Trial** to use SharePoint Agreements AI. These trial licenses are valid for six months from the date of activation. Contact your Microsoft representative or submit your nomination here to obtain trial licenses: [Sign up for limited GA](https://aka.ms/AgreementsSelectiveGA). If your nomination is selected, a Microsoft representative will reach out to you within 14 business days.

#### How do I get started with SharePoint Agreements AI?

To get started with SharePoint Agreements AI, your administrators need to follow these steps:

1. The Global Administrator [assigns the **SharePoint Content Solution - Agreements Trial**](agreements-license-requirements.md) license to all users who will be using the Agreements AI solution. This license is necessary for using Agreements AI. For trial licenses, contact your Microsoft representative or submit your nomination here: [Sign up for limited GA](https://aka.ms/AgreementsSelectiveGA).

2. The SharePoint Administrator [creates a workspace](agreements-setup.md) to organize and manage templates and agreements. For example, a "Procurement" workspace could be established to store all procurement templates and agreements, whereas a "Human Resources" workspace could be set up for employment agreements.

3. The SharePoint Administrator [designates a "workspace owner"](agreements-key-concepts.md#roles) for each workspace created in the previous step. The workspace owner has full access to the workspace.

The workspace owner can then use the [Agreements app in Microsoft Teams](https://teams.microsoft.com/l/app/fc0c5127-1a8c-4d12-9500-c142ca453b83?source=app-details-dialog) to manage categories and templates, as well as add other users to manage templates and create agreements.

#### What are the categories and why do I need them?

Categories serve to organize agreements with similar purposes within the workspace. For example, a procurement workspace might include categories like purchase agreements and sales agreements, whereas a human resources workspace might feature categories such as full-time employment agreements and part-time employment agreements.

description: Learn about the concepts of workspaces, categories, templates, and sections in the SharePoint Agreements AI solution.
+
# Key concepts in SharePoint Agreements AI

SharePoint Agreements AI is an end-to-end solution that gives you the flexibility to easily manage agreements across your organization. *Workspaces*, *categories*, *templates*, and *sections* are four essential concepts that can help you organize and manage your agreements.

**Workspaces** allow you to organize and manage agreements across your organization. When you create a workspace, a SharePoint site is created and is assigned to the workspace. You can create a workspace for business processes or departments in your organization that manages agreements. For example, you can have one workspace for your procurement team, and another one for your human resources team. Agreements, templates, and other files exist within the workspace and are stored in the corresponding SharePoint site. Roles are assigned to users at a workspace level, and permissions can be managed at a workspace level.

**Categories** are used to group agreements with similar intent within a workspace. For example, a procurement department workspace might have categories such as purchase agreements and sales agreements, while a human resources workspace might have categories for full-time employment agreements, part-time employment agreements, and so on. Categories help organize agreements efficiently, ensuring that related agreements are easily accessible and manageable within the appropriate context of a workspace.

**Templates** serve as a predefined structure that standardizes the creation of documents and agreements. It ensures consistency and uniformity across various documents within the workspace, streamlining the creation process and reducing the likelihood of errors. Templates can include specific sections, formatting, and content guidelines that align with the organization's requirements and branding.

**Sections** are reusable blocks of content that ensure the use of consistent language across your agreements. You can define a section and use it across multiple templates. For example, you might have a section for a privacy clause or payment terms for your purchase agreements, and you can have a section for a relocation package for your full-time employee templates.

## Roles

Roles are assigned at a workspace level. Currently, SharePoint Agreements AI supports the following roles:

| Role | Description | Permissions | Recommendation |
| | | | |
| Workspace owner | These users own the workspace. They're responsible for managing categories, templates, and roles, and have access to all agreements created within their workspace. | Role management, category management, read/write to all agreements, templates, and sections. | Assign this role to users who will manage the workspace. |
| Workspace member | These users are part of the workspace. They can manage sections and templates, and have access to all agreements within their workspace. They can't manage categories nor roles. | Read/write to all agreements, templates, and sections. | Assign this role to users who will create and manage templates and sections and will manage all agreements in the workspace. |
| Template manager | These users can manage templates, but won't have access to all agreements within the workspace. | Read all sections and read/write to all templates. Access to only agreements they create or are shared with them. | Assign this role to those users who can help manage your templates, when you don't want them to have access to all agreements in your workspace. |

> [!NOTE]
> You can allow users to generate agreements without being assinged a role in the workspace. To do so, share the published template(s) from Word (with at least read-only privileges with the users). These users can then create agreements, and will only have access to agreements that they create or are shared with them.
+
### Manage roles

Workspace owners can manage these roles in their workspace through the Agreements app in Microsoft Teams. In the Agreements app, go to the **Setup & access** tab, and then navigate to the **Roles** page. Here, you can see and manage the list of users assigned to the roles.

description: Learn how to create, publish, and manage template sections in the SharePoint Agreements AI solution.
+
# Manage template sections in SharePoint Agreements AI

Sections are reusable blocks of content that ensure the use of consistent language across your agreements. You can define a section and use it across multiple templates. For example, you might have a section for privacy clause or payment terms for your purchase agreements, while you can have a section for relocation package for your full-time employee templates. Sections are saved as Microsoft Word documents in the section library on your Agreements site.

Sections can also have fields, set up in the same manner as [fields for templates](agreements-create-template.md#add-fields-to-a-template).

Once a section is inserted into a template, all documents generated from that template will have the content of this section included in it. You can also choose to keep the sections read-only or editable in generated documents.

## Create a new section

To create a section in Microsoft Word, follow these steps:

1. Go to the **Agreements** tab in Word, and select **Manage sections**.

2. To create a section from blank Word document, select **Create a section** from the right panel.

3. To create a section from an existing Word document, open the document, and then **Convert this document to a section** from the right panel.

4. On the **Enter section details** panel, enter the required details to create a section and save it in the section library.

 - **Name** ΓÇô Enter a name for the section.
 - **Workspace** ΓÇô Choose the workspace where to save the section. Once published, this section will only be available to be inserted in templates in the workspace you choose. You can't change the workspace after creating the section.
 - **Description** ΓÇô Enter a description of the section.
 - **Category** ΓÇô Choose a category from the list of categories that are configured for the selected workspace.
 - **Language** ΓÇô Choose the language in which the section is or will be written.
 - **Countries or regions** ΓÇô Select the country or region where the section is applicable.
 - **Tags** ΓÇô Enter keywords to better identify or search sections.

These details help in filtering and searching the sections faster during template configuration or section management.

5. Select **Save** to create and save the section as **Draft**. A separate copy of the document is created and saved in the section library.

6. After you save the section, the newly created section is opened in a new Word window and the **Manage sections** panel opens up on the right-hand side of the Word canvas.

7. You can edit **Description**, **Category**, **Language**, **Countries or regions**, or **Tags** values from the **Edit details** option after you create the section.

> [!NOTE]
> You cannot change the workspace after the section is created.

## Insert fields

You can create and insert fields into sections just like you do with templates. Follow the same steps to set up fields in your section.

To insert fields in a section, follow these steps:

1. On the **Manage sections** panel, select **Add fields**.

2. In the **Set up fields** panel, enter the name of the field in the search box.

To understand how to create a new field that isn't present in the list, see [Add fields](agreements-create-template.md#add-fields-to-a-template).

3. After you add the field, either highlight the text in the document that you want to link to the field, or place the cursor at the exact spot in the template where you want the field to be inserted.

4. To insert the field only at the specified selection, select **Insert**. To insert the field at all similar places in the document, use the down arrow icon next to the **Insert** button, and then select **Insert at all similar places**. This inserts the field at all locations with text that exactly matches the selected text.

5. To identify or review the multiple field insertions in the template, use the left and right arrows at the bottom of the field card.

6. To delete the field or to view more details and perform other actions, select **More options** (***...***) on the field card.

## Configure section settings

Sections have configurable settings that allow the section creator to add control to what document authors can do when creating an agreement from a template containing the section.

To configure the settings, follow these steps:

1. Go to the **Agreements** tab in Word, and select **Manage sections**.

2. Edit the section to configure or [create a new section](agreements-manage-sections.md#create-a-new-section).

3. Select **Settings** to set edit permissions and other behavior of the section for document generation.

4. Under **Settings**, choose the section edit permissions for document authors:

 - **Editable** (selected by default) ΓÇô Document authors can edit the section in the generated document.

 - **Read-only** ΓÇô Document authors can't modify the content of the section in the generated document.

> [!NOTE]
> These settings don't apply when a section gets inserted into a template. Template authors can modify or format content of any inserted section. The changes will stay only in the scope of the template and will not get updated in the published section.

## Publish the section

Once you're done setting up the section, you must publish it. Only published sections can be inserted into templates.

### Request approval before publishing the section

Once you have made the relevant changes to section and configured section settings, you can choose to send a draft section for approval before publishing the section.

SharePoint Agreements AI uses the Approvals app in Microsoft Teams to send approval requests. For more information, see [Approvals in Microsoft Teams](/power-automate/teams/native-approvals-in-teams).

To request approval before publishing the section, follow these steps:

1. Go to the **Agreements** tab in Word, and select **Manage sections**.

2. Select the section to send for approval or [create a new section](agreements-manage-sections.md#create-a-new-section).

3. Select **Request approval before publishing** to set up an approval flow before publishing the section.

4. Create the approval request.

5. Fill in the name of the request, the approvers (who needs to approve it), the approval order, any additional information, and choose **Notify approvers via email** if you want to send email notifications along with Teams notification.

6. After you configure the approval request, select **Send**. The section document is marked as read-only once the approval request starts. Approvers who don't have access to the section will be granted view permissions.

7. On the **Send for approval** confirmation screen, select **Send for approval**.

8. Once the approval request is sent, you can track the request status (**Approval in progress**, **Approval completed**) through the Word pane by reloading the **Manage sections** panel or selecting **Refresh**. Optionally, you can also track the request by selecting the **Sent** tab in the Approvals app in Microsoft Teams.

9. If you need to make changes in the section after it has been sent for approval, you can cancel the sent approval request. To do so, select **Cancel request** or select **Edit section**. On the **Cancel approval request** confirmation screen, select **Cancel**.

## Update a published section

If you need to update the content of a published section due to changes in organizational standards, policy updates, or other business needs, you can do so by editing the published section. You can also resume editing a draft section by choosing the **Edit a section** option.

To edit a section, follow these steps:

1. Go to the **Agreements** tab in Word, and select **Manage sections**.

2. Select **Edit a section**.

3. If a draft section is selected, you can change the content and configure settings, and then choose to publish the section. Once you add all the relevant fields and made the necessary configurations, you can publish the section to make it available for other users.

4. If a published section is selected, and you choose to edit the section, and then a new draft version of the same section is created. The published version is still available to use by template authors during template configuration.

5. When you have made all the changes to the draft version, you can choose to [republish the section](agreements-manage-sections.md#publish-the-section), which replaces the current published version of the section with the latest one.

> [!NOTE]
> Once the draft section is republished, an email notification is sent to all template creators who have used the previous published version of the section. This is to inform them of the latest published version so that they can choose to pull in the latest changes in their template. Documents already generated from those templates will have no effect on the update.

## What you can do

With SharePoint Agreements AI, you can:

- **Centrally manage** your agreements in one place using familiar tools. SharePoint Agreements AI provides the [Agreements app in Microsoft Teams](https://teams.microsoft.com/l/app/fc0c5127-1a8c-4d12-9500-c142ca453b83?source=app-details-dialog) to manage all your agreements. You can view agreement lists, track their status, and receive expiring agreement reports.

- **Simplify your agreements process** from template to eSignature. Native capabilities in Microsoft Word allow drafting templates by adding fields. Reusable sections from the sections library can be included to ensure consistent language across all agreements. Agreements can then be generated from these templates by filling in field values and routing them for eSignature.

- **Gain operational efficiencies** by automatically routing agreements for approval. The approval workflow in templates can be configured by adding one or more approvers. When agreements are generated from templates, approvers receive notifications via email or Microsoft Teams.

- **Get AI-powered insights** infused into the flow of work. Use AI to quickly review agreements and highlight deviations from the original sections. Uploading signed agreements lets AI identify key details like the second party's name and expiration date, making them organized and searchable.

description: Learn how to set up licensing tools for the SharePoint Agreements AI solution.
+
# Set up SharePoint Agreements AI

## Overview

There are a few steps to setting up the solution.

1. A Global Administrator [procures and assigns the required SharePoint Content Solution - Agreements Trial license](agreements-license-requirements.md#assign-the-license-to-users).

2. A SharePoint Administrator [creates a workspace](#create-workspaces).

3. Workspace owners [configure their workspace](#configure-the-workspace).

4. Deploy the [Agreements app to Microsoft Teams](#add-the-agreements-app-in-microsoft-teams).

## Create workspaces

Workspaces allow you to organize and manage agreements across your organization. When you create a workspace, a SharePoint site is created and is assigned to the workspace. You can create workspaces for business processes or departments in your organization that manages agreements. For example, you can have one workspace for your procurement team, and another one for your human resources team. Agreements, templates, and other files exist within the workspace and are stored in the corresponding SharePoint site. Roles are assigned to users at a workspace level, and permissions can be managed at a workspace level.

### Prerequisites

Before creating a workspace for SharePoint Agreements AI, you need to ensure:

- The user implementing the steps in the article needs to be either a Global Administrator or SharePoint Administrator.

 [!INCLUDE [global-administrator-note](../../includes/global-administrator-note.md)]

- The [SharePoint Content Solution - Agreements Trial license](agreements-license-requirements.md#assign-the-license-to-users) is assigned to users in your organization.

- Download and install the latest [SharePoint Online Management Shell](https://www.microsoft.com/download/details.aspx?id=35588).

 > [!NOTE]
 > You must be a SharePoint Administrator or Global Administrator to create sites through the SharePoint Online Management Shell.

### Create a workspace

1. Launch the SharePoint Online Management Shell, and sign in as a Global Administrator or SharePoint Administrator.

2. Run the following command to connect to your tenant.

 ```
 Connect-SPOService -Url "https://<tenantName>-admin.sharepoint.com"
 ```

 Where:

 - \<tenantName> is the name of your SharePoint tenant. <br><br>

 Example:
 ```
 Connect-SPOService -Url "https://contosoelectronics-admin.sharepoint.com"
 ```

 > [!NOTE]
 > The Connect-SPOService might require the use of modern authentication to connect. For information about how to add modern authentication flow to your SPO-Connect cmdlet, see the [Connect-SPOService documentation](/powershell/module/sharepoint-online/connect-sposervice).

4. Run the following command to create a new SharePoint site and set it as an Agreements workspace.

 ```
 New-SPOSite -Url "<URL>" -Owner "<user>" -StorageQuota 1000 -Title "<Workspace Name>" -EnableAgreementsSolution -Template "STS#3"
 ```

 Where:

 - \<URL> is the target URL of the new site.
 - \<User> is the email address of the owner of the new workspace.
 - \<Workspace Name> is the name you would like for the new workspace.

 Example:
 ```
 New-SPOSite -Url "https://contosoelectronics.sharepoint.com/teams/LegalAgreements" -Owner "megan@contosoelectronics.onmicrosoft.com" -StorageQuota 1000 -Title "Legal agreements" -EnableAgreementsSolution -Template "STS#3"
 ```

## Deploy the Agreements app to users in Microsoft Teams

As a Global administrator or a Teams administrator, you can [manage the Agreements app in the Microsoft Teams Admin Center](/microsoftteams/manage-apps) and deploy the app to all users or specific users in your organization.

+
# Update a template in SharePoint Agreements AI

Templates have their own lifecycle management requirements and will change over time as a business updates its requirements for the content of structure of agreements.

## Choose a template to edit

1. Go to the **Agreements** tab in Microsoft Word, and select **Manage templates**.

2. In the panel, select **Edit a template**.

3. Choose the appropriate workspace to see the Modern Template Library for that workspace.

4. Select **Modern Template Library** to show a list of all the templates for editing.

5. Select the template you want to edit, and then select **Open template**.

## Prepare to edit the template

When you open the template for editing, the right-hand panel in Word displays various details. The details include the templateΓÇÖs status (**Draft** or **Published**); metadata such as location, languages, and other fields; and information about sections and conditional sections. At the top of the panel, select **Edit template**.

## Edit the template

After you select **Edit template**, you're presented with the same experience as when you [create a template](agreements-create-template.md#configure-an-approval-workflow-for-documents-generated-from-the-template) flow. In this case, the fields, sections, conditional sections, and any workflow that is already in place from the original template is displayed.

You can make modifications as needed to update the elements of the template. Once you're done with your changes, publish the template for the changes to take effect.

> [!NOTE]
> Until you publish the template with the changes, the changes won't reflect in new documents generated from the template. All documents generated from the template will be based off the last published version of the template.
